Roles, Responsibilities and Reimbursment

Stichting TAPS Support remains committed to financial transparency and responsible management of the foundation. This page gives insight into the roles and responsibilities of our team, and the way they are financially compensated.

Roles and Responsibilities

Our team all play vital roles in the way our foundation works, and we take these positions seriously.  Each member of our team has a specific role to fulfill in order to ensure the smooth operation of the Stichting.

There are 3 essential teams for the Stichting, consisting of the Board, the Medical Advisory Team, and the Social Media Team.   Each team and each member is considered an equal within the organization and is responsible for conducting themselves in a manner that fits the mission, vision, and values.

The team reports back to the director, who in return, is responsible for ensuring that clear, transparent communication about the foundation is delivered to sponsors, stakeholders, and most importantly, the families we exist to support.

The Board

Director

The role of the director is to be the public face of the foundation.  They are responsible for overseeing the teams and ensuring that the necessary tasks are completed in a timely manner.

They attend functions on behalf of the Stichting, and report back to the teams on issues of relevance and importance.  They are also responsible for ensuring that the mission, vision, and values of the foundation are upheld by all members.  

They provide relevant, up-to-date information as it comes to all teams, and act as the main source of communication between all 3 sections of the Stichting.

Secretary

The role of the secretary is to ensure that the day-to-day functions of the foundation run smoothly, by answering and dispersing correspondence, ensuring meeting times are set and communication about these are sent, and checking that all communication through social media and other sources is relevant, up to date, and in line with the communication style of the foundation, and uphold the mission, vision, and values.

They are responsible for updates on the website, social media, and media on the activities of the foundation.

Current Secretary: Marius Ernst.

Treasurer

The role of the treasurer is to manage the finances of the foundation, and ensure that all bookkeeping practices are compliant, and adhere to Dutch laws and tax regulations. They are also responsible for maintaining the foundation’s bank accounts, donation platforms, and communication with debtors and donateurs.

They issue receipts and are responsible for reimbursements and collections, and uphold the mission, vision, and values of the Stichting.

Remuneration Policy for Board Members

Board members may not draw a salary or wage from the Stichting in accordance with Dutch law.  Their role is a volunteer position but they are entitled to specific remuneration in accordance with their roles and responsibility.

Travel Expenses

Board members will be provided with a Dutch travel card (issued by NS) for public transport, whereby Stichting-related travel will be covered by the foundation.

We define related travel as anything that is related to the foundation, such as (but not limited to) travel to meetings, events, local symposiums, and media/press-related commitments.  This also covers travel to and from airports and international train travel.

In the name of encouraging sustainability and lowering environmental impact, 100% of travel costs will be covered by the foundation if undertaken by public transport. Taxi, Uber, and ride-sharing services shall be covered at a rate of 50%.

Should the board members travel by their own vehicle, we will compensate at the rate of 19c/km, as dictated by the Dutch Tax Office.  An expense form shall be completed and submitted by the last day of the month, and this will be reimbursed within 14 days of receipt.

Travel to international events.  Board members will be compensated to a limit of €500 per calendar year for international travel unless sponsorship is provided.

Event Costs

If the board member is attending a symposium, congress, or similar in the name of the foundation, then if funds allow, 100% of the costs will be covered by the foundation if a grant or bursary is not available.   Board members should actively seek sponsorship for events they wish to attend. 

Meal Allowances

If an event is longer than 3 hours, and food is not included in the admission price of the event, then the board member will receive an allowance of €20 per meal, with a  maximum limit of €50 claimed per day. 

Additional Costs                 

Should the board member pay for anything out of their own finances for the sole use of the foundation, then this will be 100% reimbursed provided that proof of purchase can be provided. 

Requirements

Except in the case of the NS travel card, board members are responsible for obtaining all the necessary receipts and proof of purchase for expenses.  An expense claim must be submitted if they are claiming remuneration from the foundation. This should be submitted by the last day of the month, with compensation in 14 days from receipt.

Scientific and Medical Team

The role of the scientific and medical team is to support the foundation in its quest to provide the latest and most up-to-date information. 

They connect the teams with the latest research and provide support on the technical and scientific aspects.

They cannot give specific medical advice on cases, but rather a broad overview of vital knowledge and information.

They uphold the mission, vision and values of the Stichting.

Should a member of this team purchase anything for the Stichting in accordance with the board, provided they can supply the necessary documentation and complete an expense form, they will be reimbursed as per the policy for board members and general costs.

There are no provisions here for travel, food, or event costs.

Social Media and IT Team

The role of the social media team is to ensure that our Facebook group is moderated, as well as the general engagement and questions are answered on our social media platforms. They are the faces of the Stichting online and should conduct themselves in a manner that fits our mission, vision, and values.

The role of the IT team is to ensure that our websites are well maintained, and secure.

Remuneration Policy for the Social Media And IT Team

Should a member of this team purchase anything for the Stichting in accordance with the board, provided they can supply the necessary documentation and complete an expense form, they will be reimbursed as per the policy for board members and general costs.

There are no provisions here for travel, food, or event costs.
